Oman Tourism College is committed to protecting the privacy and personal data of students, applicants, staff, and visitors who use the OTC Student Portal at https://www.otc.edu.om/portal/.
This Privacy Policy explains what personal data we collect, why we collect it, how we use and protect it, and the rights available to you under the laws of the Sultanate of Oman, including the Personal Data Protection Law issued under Royal Decree No. 6/2022 and its Executive Regulations (Ministerial Decision No. 34/2024) (“the PDPL”).
By using the Portal, you acknowledge that you have read and understood this Privacy Policy.

2. Information We Collect

We may collect the following categories of personal data:

  • Identity data: full name, civil number/ID, date of birth, nationality, photograph
  • Contact data: email address, phone number, residential address
  • Academic data: student ID, enrollment records, grades, attendance, course registrations, transcripts
  • Financial data: fee payment records, billing information (card details are not stored by OTC)Technical data: IP address, browser type, device information, login timestamps, portal usage logs
  • Communications data: messages, support requests, and correspondence submitted through the Portal

3. How We Collect Your Data

  • Directly from you when you register, log in, or submit forms on the Portal
  • Automatically through cookies and similar technologies as you use the Portal
  • From authorized OTC staff and academic systems in the course of administering your enrollment

4. Purpose and Legal Basis for Processing

We process personal data for the following purposes, consistent with the PDPL’s requirement that data be processed for specific, lawful, and declared purposes:

  • To provide access to academic records, grades, timetables, and enrollment services
  • To manage student registration, fee payments, and administrative processes
  • To communicate important academic and institutional notices
  • To maintain the security and proper functioning of the Portal
  • To comply with legal and regulatory obligations
  • To improve our services based on aggregated usage data

Where required, we obtain your explicit consent before processing your personal data, particularly for any use beyond core academic administration.

5. Data Sharing and Disclosure

We do not sell your personal data. We may share personal data with:

  • Authorized OTC faculty and administrative staff on a need-to-know basis
  • Regulatory or governmental bodies where required by Omani law
  • Third-party service providers (e.g., IT hosting, payment processors) contractually bound to protect your data consistent with the PDPL

Any transfer of personal data outside Oman will only occur in accordance with Article 23 of the PDPL and its Executive Regulations, including obtaining your consent where required and verifying that the receiving party provides an adequate level of protection.

6. Data Retention

We retain personal data only for as long as necessary to fulfill the purposes outlined in this policy, or as required by Omani law and OTC’s institutional record-keeping obligations. Academic records may be retained for extended periods in accordance with accreditation and regulatory requirements.

7. Data Security

We implement appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction, including access controls, encryption where appropriate, and staff training.

8. Your Rights

Under the PDPL, you have the right to:

  • Access your personal data held by OTC
  • Correct inaccurate or incomplete data
  • Withdraw consent where processing is based on consent
  • Request deletion of your data, subject to legal and academic record-keeping obligations
  • Object to certain processing activities
  • Lodge a complaint with the Ministry of Transport, Communications and Information Technology (MTCIT) if you believe your data has been mishandled
